Position Summary

The Program assistant will work cross-functionally within all areas of the business. Potential candidates must have the ability to multi-task and must work well in a team environment. The ideal candidate would also possess mid-to-high level computer skills, superior communication skills, and be highly organized and detail oriented.

In the role, the Program Assistant will:

  • Serve as key point of contact helping organize and plan On-Campus Workshops
  • Provide support in relation to membership inquiries, on-boarding new members, and account management
  • Help manage and complete other administrative and office related tasks

 Desired Qualifications

  • Bachelor’s Degree / 3 years of work experience
  • Team fit, including alignment with and / or adaptable to the NCFDD’s culture 
  • High attention to detail to ensure excellent quality and accuracy of work
  • Paralegals interested in moving from the legal world to the business world highly welcome
  • Strong Microsoft Office (e.g. Excel), Google Suite (e.g. Sheets) abilities
  • Strong communication skills, and professional e-mail correspondence skills
  • Experience using and managing CRM software a plus
  • Proven ability to multi-task and prioritize; deadline driven
  • Proven ability to work both independently and as part of a high-functioning team

Detailed Responsibilities

I. On-Campus Workshops

  • Be point of contact for requests for On-Campus Workshops and respond promptly (24 hours)
  • Conduct initial screen of request for scheduling and audience information, as well as goals
  • Organize follow-up discussion call with Senior Strategist of Institutional Partnership with requestor
  • Take notes during inquiry calls, and update CRM with call notes and next steps 
  • Review and confirm availability of On-Campus Workshop facilitators and requesters
  • Manage, confirm, and finalize signing of agreements and contracts
  • Manage communications and introductions between facilitators and hosts ahead of workshop
  • Prepare and distribute workshop materials, and manage post-workshop administrative matters
  • Manage and track requests for On-Campus Workshops via Microsoft Excel / Google Sheets
  • Save all key documents (e.g. agreements and contracts) in internal folders
  • Make sure Financial Controller is informed of timing of upcoming and completed workshops

II. Membership

  • Work closely with Senior Strategist for Institutional Partnerships to respond to inquires 
  • Take notes during inquiry calls, and update CRM with call notes and next steps 
  • Provide administrative support to ensure renewing and new Institutional Members are on-boarded 
  • Provide support in relation to follow-ups and account management 

III. Faculty Success Programs

  • Support internal team with administrative matters in relation to Faculty Success Programs
  • Help manage and ensure integrity of participant and coach data for internal purposes

IV. General

  • Attend weekly Team Meeting and daily Team Huddle
  • Respond and post daily to internal Facebook group, including closing checklist of tasks completed
  • Work with team members to complete cross-functional tasks on a daily basis
  • Help with annual offsite and conference planning
